Position Summary

Reporting to the Food Services Manager, Chef, Lead Cook, or Cook 2, the Cook is responsible for the daily production, delivery and service of items from a designated menu, maintenance of a safe sanitary workplace, and participating in the smooth operation of the department.

This position is 30 hours per week.

Rotation: Wednesday and Thursday - 11:30AM - 7:30PM + Saturday and Sunday - 9:00AM -5:00PM.

Responsibilities

Include but not limited to:

1. Responsible for the production, delivery and service of assigned menu items using standardized recipes ensuring standard department policies, procedures and safe food handling techniques are used at all times.
2. Ensures the proper preparation, delivery and storage of food to ensure safety of residents, guests and the public. Performs audits testing the palatability and temperature of foods and take corrective action as necessary.
3. Maintains established food rotations in storage in order to minimize spoilage and waste.
4. Practices and maintains cleanliness and sanitation according to required standards set by the Health Department and the facility.
5. Assists the Food Services Manager/Chef/Lead Cook in the organization and evaluation of Food Services to ensure a high standard of Food Services by providing constructive suggestions and feedback.
6. Promotes and maintains positive communication and relationships among management, staff, residents, and the public.
7. In the absence of the Food Services Manager/Chef/Lead Cook, or Cook 2 the Cook, is responsible for the supervision of department production and service, staff, including direction of staff, interdepartmental communications, and emergencies.
8. Perform all other duties as required.

Position Summary

Position Summary

Reporting to the Support Services Manager and/or designate, the SSW-Laundry performs routine and special duties involved in providing laundry services to the residents and tenants of the facility. Duties are performed in accordance with established policies and procedures.

Responsibilities

Include but not limited to;

• Processes linens, drapes, personal resident clothing that will include collection and redistribution to appropriate locations.
• Stock cupboards with clean linens as per quotas.
• Washes, dries, sorts, folds, hang items.
• Uses labeling equipment to label resident clothing.
• Operates and maintains equipment including washers, dryers and transport carts.
• Reports maintenance concerns.
• Recommends ordering of chemicals and facility linens.
• Participates in facility committees and quality improvement initiatives.
• Perform all other duties as required.

Position Summary

Reporting to the Support Services Manager and/or designate, the SSW Housekeeping performs general cleaning duties in the facility, including the cleaning of residents’ / tenants’ rooms/suites, bathrooms, staff rooms, offices, lounges, dining rooms, corridors, and other areas as designated. Responds to resident/tenant and building emergencies as required.

Responsibilities

Include but not limited to;

• Carries out all aspects of routine and rotation cleaning throughout the building and suites which includes: dusting, vacuuming and sweeping; cleaning appliances; washing floors, walls, windows and doors; changing light bulbs; changing and making beds; removing curtains/window coverings for cleaning and re-hanging; garbage removal; terminal cleaning of rooms/suites.
• Cares for equipment, supplies and work areas and keeps equipment clean and safely stored. Reports defective and damaged equipment and furnishings; keeps work area in an orderly, safe and clean condition; keeps inventory in order on individual carts; replenishes supplies throughout the building; understands the use and application of cleaning chemicals.
• Ensures that furniture is arranged to provide a safe and efficient environment. Reports significant changes or uncommon resident behaviour or concerns to nursing staff.
• Participates in facility committees and quality improvement initiatives.
• Perform all other duties as required.

Position Summary

Reporting to the General Manager or designate, the Schedulers central responsibilities include the scheduling of short term vacancies and long term schedule planning (vacations, etc.). This position will be cross-trained with the Receptionist for coverage if required. An ability to communicate effectively with staff, residents and their families is essential. This position will require a good working knowledge of the facility Collective Agreement to ensure Articles are adhered to, including: scheduling, leave of absences, seniority, overtime, shift premiums and sick time allowance.

Scheduling Functions

• In collaboration with department managers maintains department schedules to cover day to day staffing, long range staffing and planned vacancies. Also coordinates shift coverage for unplanned short term vacancies (i.e. short calls; due to sick calls, vacations, LOAs etc.). Following established facility Collective Agreement guidelines/procedures.
• Data entry of all scheduling changes, temporary and permanent, into ezLabor program.
• Update and produce master staff rotations and PT/Casual call-in lists.
• Performs a variety of duties related to the staffing for the facility including maintaining timekeeping records (ie. timesheets) for staff for payroll purposes, as well as, maintaining related records such as staff names, addresses, phone numbers and availability for work.

Administration

• Maintain emergency fan out list with updated staff telephone numbers. (if applicable)
• Answers the telephone, greets and screens both callers and visitors, responds to requests by providing information directly or directing inquiries to appropriate individuals within the organization (if applicable).
• Maintains strict confidentiality with respect to payroll data and employee information.
• Other duties as assigned.

Position Summary

• Arranges shift coverage for short calls absences (less than 24 hours’ notice); filling the vacancy following established facility guidelines/procedures. Arranges coverage for longer term planned absences (leave of absences, vacations, vacant positions).
• Works with/reports to General Manager/Director of Care regarding any unfilled shifts.
• On a periodic basis, reviews with General Manager/Director of Care the casual call in list and any concerns regarding staff availability.
• Organizes and maintains the functions of the reception desk.
• Greets and communicates with all residents, guests, staff, volunteers, and visitors in the facility in a courteous and professional manner.
• Answers and transfers all telephone calls in a pleasant, friendly, and helpful manner. Takes message if necessary. Ensures a return call (to caller) if person is not available.
• Coordinates shift coverage due to short calls (less than 24 hours’ notice); thereby, filling the vacancy (due to sick calls, etc); as required. Following established facility guidelines/procedures.
• Follows policies and procedures of the facility.
• Assists other departments in an administrative capacity, (recreation calendar, monthly newsletter etc).

Position Summary

Reporting to the Business Service Manager and/or designate the Front Desk is responsible for all aspects of reception and office procedures as outlined by this job description. The front desk receptionist shall:

• Perform clerical duties in a manner conducive to the smooth operation of the facility.
• Perform all duties in a manner that creates and promotes a high standard of care and professionalism in all departments of the facility.
• Perform duties in a manner that enhances public perception of the facility.

This position is Part Time (24 hours per week).

• Completes confidential secretarial functions for all departments in a prompt and efficient manner, including updating and maintaining forms and documents pertaining to admissions and discharges.
• Types minutes for all meetings in the facility.
• Updates forms, signs, charts and other communication tools used at the facility.
• Runs errands on behalf of the facility within working hours, as required.
• Maintains an up-to-date filing system.

Summary of position:

Reporting to the General Manager and/or designate, the Administrative Coordinator may provide confidential administrative support. Central responsibilities include Financial Management (may include trust account maintenance), Reception (either full time or coverage for breaks), and entering Admission, Discharge & Transfer data into the Resident Management System (RMS), and Care Management System (CMS).

Responsibilities:

Include but not limited to;

Financial Management

• Perform a variety of duties related to financial management of the organization such as preparation of financial reports, coding all accounts payable invoices, monthly bank reconciliation, and collections of past due accounts.
• Set up Electronic Funds Transfer (EFT), discharge resident refunds, invoicing to third parties (i.e. MHR, DVA, Health Authorities, BC Housing) and annual resident income tax statements.
• Process deposits and complete daily bank runs (if applicable).
• Maintain the petty cash fund by performing duties such as maintaining records of transactions, requesting additional money as required and completing related reports.
• Participate in maintaining the Resident Trust Fund by performing duties such as receiving requests, recording transactions, maintaining ledger accounts, advising resident/families when additional funds are required and reconcile trust account monthly.
• Report monthly financial reconciliations to Head Office (if applicable).
• Process all payables related items to include supplier invoices, purchase orders and receiving reports (if applicable). Processing payables includes: attach payables processing form to invoice ensuring correct coding and distribution of charges. GM to authorize all invoices prior to submittal to Head Office.

Payroll Functions:

• Calculate employee hours to be paid and enter into ADP system on a bi-weekly basis (if applicable).
• Complete Payroll Change forms for changes to employee data (i.e. wage rates, status, address, banking info, etc).
• Monitor employee status changes and update wage rates & benefits options as required.
• Maintain seniority lists (if applicable).
• Complete documents required by HRDC, Sunlife & WCB.
• Collect completed benefit forms, review information and forward to Payroll Dept.
• Answer employee’s payroll and benefit questions, refer to Payroll Dept. when necessary.
• Provide information and data as requested by the Payroll Dept.

Administration:

• Produce a variety of confidential documents for the General Manager and management team members including correspondence, memos, reports, minutes, budget statements and meeting agendas using a range of word processing and spreadsheet software packages (if applicable).
• Design and maintain records, files and distribution systems for correspondence, reports and minutes within the Administration area. Maintains resident records and storage of terminated records.
• Complete forms as needed for the Health Authority and Stats Canada.
• Performs a variety of duties related to the staffing for the facility including maintaining timekeeping records for staff for payroll purposes, as well as, maintaining related records such as staff names, addresses, phone numbers and availability for work.
• Answers the telephone, greets and screens both callers and visitors, responds to requests by providing information directly or directing inquiries to appropriate individuals within the organization (if applicable).
• Receive and process all incoming and outgoing mail and screens for appropriate distribution within the organization. Prioritizes items for immediate action (if applicable).
• Produce purchase order ensuring a copy of both the purchase order and the receiving report is attached to the invoice. Submit to Head Office A/P dept. on a weekly basis for processing. File all invoices and documentation once returned from A/P dept (if applicable).
• Maintain stock of office supplies and materials for organization through review of stock on hand, and completion and forwarding of purchase orders to suppliers, working within budget constraints. Receives and verifies supplies and investigates and resolves any discrepancies (if applicable).
• Supervision of Reception staff (if applicable).
• Management of Admit, Transfer and Discharge information on all residents in CMS on a timely basis.
• Maintenance of resident contact information in RMS.
• Performs RMS maintenance of residents accounts (admissions and discharges), and admission agreements.
• Run “Occupancy”, “Assessments Due”, and other CMS Reports as requested by the GM or DOC.
• Other CMS related duties as assigned by the GM, which may include adding the photo of each new resident.
• Perform all other duties as required.

Position Summary    

Reporting to the Support Service Manager and/or designate provides all aspects of service in the dining room, resident lounges and room service for residents, guests and the public. Participates in food preparation and the maintenance of a safe, sanitary workplace by following safe food handling techniques.

Responsibilities

• Responsible for all aspects of meal service including breakfast, lunch, dinner, snacks, teas, special events and room service etc. Duties include preparing the dining room and service area for meals, stocking all necessary items, serving meals and cleaning the dining room, preparation and service areas afterwards.
• Assist with the preparation and presentation of food and beverages under the direction of cook or designate. Portion meals with respect to portion control, plate presentation and resident choice. Provide residents with beverages and meal accompaniments.
• Carry out general cleaning duties and routines, including clean up and setting of tables, clearing tables, bussing dishes, scraping dishes, washing dishes, and transporting dishes as required.
• Prevent the spread of infection by proper hand washing, appropriate glove use, following prescribed cleaning techniques, and proper handling of chemicals. Practice and maintain established standards for proper cleanliness and sanitation required by the Health Department.
• Establish and maintain an atmosphere conducive to pleasant dining by creating an environment which maintains the happiness, self-respect, general dignity and physical safety of each resident.
• Promote and maintain positive communication and relationships among staff, residents and the public.
• May be responsible for some or all tasks related to housekeeping and laundry duties.
• Other related duties as required.

Position Summary

Reporting to the Maintenance Manager, the Maintenance Assistant assists with all maintenance requirements as they pertain to the efficient operation of the facility; all aspects of regular maintenance, repairs, building improvements, environmental issues and fire and life safety. In conjunction with the Maintenance Manager and the Facility General Manager, the maintenance person assists in the safety and security of all residents, staff and visitors.
Responsibilities     Include but not limited to;

Regular Maintenance, Repairs and Building Improvements:

• Inspects operating condition of all equipment and logs information daily.
• Inspects alarm, call, and security systems and logs information daily.
• Diagnoses equipment malfunctions in the absence of the FMM.
• Schedules and supervises service work in the absence of the FMM.
• Ensures the safety of the building, equipment, staff and residents.
• Complete general repairs to electrical, plumbing and other building components commensurate with the capabilities of an experienced maintenance trade person
• Sources and prices replacement or repair items by following Retirement Concepts purchasing guidelines in the absence of the MM
• Be available for emergency call-ins.
• Makes recommendations for repairs, replacements, or upgrades to be reviewed with the MM&RCD Regional Maintenance Manager and be involved in facility improvement projects.
• Maintains a painting/touch-up schedule

Environmental Issues:

• Attends to garbage and general clean up in resident and public areas (Exterior and Interior).
• Assists Housekeeping if requested.
• Ensures the safety of staff, residents, guests, and vendor personnel by ensuring all areas of the building and its exterior grounds are maintained in a safe condition (i.e. snow clearing, debris, and leaves, etc.)
• Implements snow removal and de-icing program either directly or via a contractor as directed by company policy such that the safety of residents, staff and visitors is not compromised
• Oversees the pest control program in the absence of the MM
• Maintains organized and safe work and storage areas.

Fire & Life Safety:

• Assists the Fire Safety Director in drills.
• Maintains scheduled certification for fire systems.
• Complies with fire regulations.
• Implements all repair and maintenance activities in a safe manner while abiding by appropriate Work Safe BC regulations

Maintenance Management:

• Implements a preventing maintenance schedule as per the Computerized Maintenance Management System under the direction of the Manager Loss Prevention Programs
• Maintains a log entry of daily routines, general repairs, scheduled, and non-scheduled maintenance items on all equipment.
• Prioritizes maintenance requests and scheduled work load so the work can be performed in an efficient manner.

Team Player:

• Provides support or instruction to staff that may be operating the facility’s equipment
• Implements programs which conserve and save energy for lighting and other equipment..
• Takes initiatives in gaining knowledge and skill relating to the maintenance position.
• Participates in facility events.

Dress Regulations:

• Always maintains a neat appearance and be attired in clean, safe and presentable clothing.
• Rubber-soled, steel-toed safety shoes when needed
